Greetings!

I've been working on organizing our presence at LWE in San Francisco
this year (coming up in August).  I would like to propose a budget from
the Foundation for our booth.

The budget looks like so:

Flyers[1]       $265
Incidentals[2]   $85
====================
Total           $350

[1] - This would cover an order of 2500 half-page (8.5 x 5.5)
double-sided full color flyers.  I have a rough draft that I have been
working on lately and solicited assistance from the rest of the PR team.
The quote is from dgpink.com, a company that came recommended by solar
and horton

[2] - This category is meant to cover anything that is unexpected up
front or hard to estimate.  This includes shipping of demo systems and
booth gear to and from the show.  Also included may be any extra booth
rentals we decide to make (for example, at Boston an extra table was
rented for like $50).

In previous years of LWE either Daniel has taken care of things out of
pocket, one year IU paid for a lot of things, and we have also relied
upon booth donations in the past.  None of these methods provides for
preparing materials ahead of time to give away.  It's always a personal
peeve of mine to spend a week talking about Gentoo and not be able to
give visitors anything with our website or name to take home.  The order
of flyers could cover a large demand (there will be about 5,000 - 7,000
visitors to LWE this year, but not all of them will want a flyer of
course).  If there are extra flyers we can save them for the next
conference.

I'm assuming we will have a tip jar again this year (we usually do).  It
typically brings in one to a few hundred dollars.  Any money made will
be returned to the Foundation as per instructions on the web site. My
purpose in stating this is not to guarantee that the budget will be
refunded, but to note that some of it will.

The purpose of this proposal (and our presence at LWE) is to help
further public knowledge of Gentoo.

Alternative to this proposal is to not have a budget at all.  I have no
plans of funding flyers and such myself, so we may not have them
otherwise.  (I don't mean that to sound as a threat, just to be thorough
in this email)

The timeframe for this budget is from upon approval until after a week
after LWE (August 19, 2005)

We can discuss this in email, or in bugzilla if someone else wants to
support this Foundation-wise  (it's kinda unfair for me to do it, and
hence I should probably abstain from a vote on it too).

I have no objection whatsoever against this. One of the reasons the
Foundation is put in place /is/ to be able to have a more professional
presence on conferences and such.

You certainly have my vote on this.  I would add a bit for CDs to give
away.

Here is my take on CDs  (and feel free to disagree with me here):

If we want to do CDs we need to do them right.  This means they need to 
be professionally labeled (no "Gen2 2005.0" written in sharpie). 

Also, in the past when we have done CDs, say 300 or so, the majority of 
them seem to get taken up by our current users as a little "souvenir".  
While there is nothing wrong with this, if 250 current users rush the 
booth on the first day asking for CDs, that leaves you with 50 to give 
to potential users, and this is all out of a crowd of 5000+.

On top of that, we would have to coordinate with releng well ahead of 
where we are now to get the upcoming release finished in time to go to 
the printers.

I think CDs are important.  I just don't think they are in the cards 
right now.  I see this year as a baby step to bigger things when it 
comes to trade shows.  In the future, I would love to see the Foundation 
afford professionally printed CDs that could reach the masses.  A quick 
look online (no comparison shopping) shows $150 per 100 cd's, so to 
have, say, 1000 CDs of a fresh release at LWE would be an awesome 
thing!  It would also cost $1500.  This way you 1 do the CDs right, and 
2 have enough to reach the masses.  I think that would be very feasible 
once we get a release or two into our bank.

This is definitely worth funding. But what I'd really appreciate is if
you could try out one of those funding request forms that I worked on,
to see how well they work, how hard they are to fill out, etc. It would
be a great trial run.

The only place they exist now is in a thread on gentoo-nfp called
"Funding request form," and the latest one looks to be sent at 5/19/05
10:44 PM PST.

Well said, and I certainly agree.

As for CDs, I agree w/ cshields.  On the other hand, cd and/or t-shirt
_sales_ might well be a good idea (if they're allowed; I haven't been to
one of these).

This gets my vote, too.  I also agree with Corey that we should hold off on
CDs until we can do a better, more organized job of it.

I don't believe sales are allowed on the show floor.  Sometimes they are, and 
when they are in California you have to have a special license, deal with 
sales tax, yadda yadda..

Mozilla Foundation got around this last year by offering items and having a 
"recommended donation" price sheet for those items.  You can't enforce the 
prices on people (well, you can but if you got caught doing so it might 
jeopardize future invitations).  I think that the show people were a bit 
unhappy about that situation anyway.  To top it all off, it was embarrassing 
that some of our own devs got away with $35 firefox polo shirts for only $5.  
So you run the risk of losing money on the ordeal as well.

Something to think of for future shows..
